Oversee Agency Privacy Policy
Introduction
OverseeAgency.com, a digital marketing agency headquartered in Lubbock, Texas, provides services including digital marketing strategies, content creation, social media management, search engine optimization (SEO), web hosting, and customer relationship management (CRM) tools. This Privacy Policy articulates the methods by which we collect, use, store, and protect your personal information when you interact with our website or services. By accessing our website or engaging with our services, you consent to the practices described in this policy. This policy applies to all visitors, users, and others who interact with our website, reflecting our commitment to safeguarding your privacy and ensuring the security of your personal data in compliance with applicable laws, including the Texas Data Privacy and Security Act (TDPSA), California Consumer Privacy Act (CCPA), and General Data Protection Regulation (GDPR).
Information We Collect and How
We collect various types of information to provide and enhance our services. Personal information you voluntarily provide includes your name, email address, phone number, and other contact details submitted through website forms, email correspondence, or service inquiries. For instance, when you request a consultation or subscribe to our newsletter, you may provide such details.
Automatically collected information includes data about your device and website interactions, such as your IP address, browser type, operating system, referring website, pages viewed, and the date and time of your visit. This data is gathered using cookies, web beacons, and similar tracking technologies.
Cookies, which are small text files stored on your device, help us remember your preferences, analyze site usage, and deliver personalized content. You may adjust cookie settings in your browser, though disabling cookies could impact website functionality.
We do not collect sensitive personal information—such as racial or ethnic origins, political opinions, religious beliefs, trade union membership, genetic or biometric data, health, or data concerning sex life or sexual orientation—unless you explicitly provide it for specific purposes.
Use of Your Information
The information we collect serves multiple purposes to enhance your experience and our service delivery. We use your personal data to respond to inquiries, provide customer support, and fulfill service requests. For example, if you contact us about SEO services, we use your provided details to follow up.
We may also send newsletters, marketing materials, or promotional offers if you have opted in to receive such communications. Your data helps us personalize your website experience, such as tailoring content to your interests. Additionally, we analyze website usage to improve performance, functionality, and content, ensuring a seamless user experience.
Compliance with legal and regulatory obligations, such as tax or accounting requirements, is another purpose for data use.
Sharing of Your Information
We prioritize transparency regarding how your information is shared. We do not sell your personal data to third parties for their own marketing purposes. However, we may disclose your information to trusted third parties who support our operations, such as web hosting services that store website data, payment processors that handle transactions (if applicable), or marketing service providers that manage email campaigns. These providers are contractually required to maintain confidentiality and security standards equivalent to ours.
We may also share information to comply with legal obligations, such as responding to subpoenas, court orders, or other lawful requests from public authorities. In the event of a business transfer, such as a merger, acquisition, or sale of assets, your personal data may be transferred to the acquiring entity, with appropriate safeguards to ensure continued protection.
If we need to share your data for purposes not described in this policy, we will seek your consent unless otherwise permitted by law.
Google User Data
Our client reporting dashboard connects to Google services on your behalf. When you authorize the connection, you grant Oversee Agency permission to access certain data from your Google account through Google’s APIs.
With your explicit consent, we request read-only access to: your Google Search Console performance data for sites you have verified; your Google Analytics 4 property list and report data; your Google Ads campaign performance data; and your Google account email address, which we use only to identify which account the connection belongs to.
This data is used for one purpose: generating the performance reports shown in your client dashboard. We do not use it for advertising, we do not use it to build user profiles, and we do not use it to train machine learning or artificial intelligence models.
We do not store copies of your Google Search Console, Analytics or Ads data beyond what is cached temporarily to render reports. The access credentials that permit the connection are encrypted at rest on our servers. We do not sell, rent, or transfer your Google user data to third parties, and we do not share it with anyone other than the client account it belongs to, except where required by law.
Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
You may disconnect the integration at any time from within the dashboard, or revoke our access directly at https://myaccount.google.com/permissions. On revocation we delete the stored credentials for that connection.
Meta (Facebook and Instagram) Data
Our client dashboard can connect to a client’s Facebook and Instagram advertising accounts through Facebook Login for Business, so that the client can see the performance of the campaigns we run for them. When a client connects an account they choose which ad account or accounts to share and grant Oversee Agency read-only “Analyze” access to those accounts. We receive a system user access token limited to the accounts the client selected.
With that access we read advertising performance data only: the ad account name and identifier, its currency, and metrics such as spend, impressions, clicks, click-through rate, cost per click, cost per thousand impressions, conversion actions and conversion values, broken down by date and by platform so that Facebook and Instagram results can be reported separately. We do not read message content, follower lists, custom audiences, or personal information about the people who saw or clicked an ad, and we never create, edit, pause or spend on a connected ad account.
Access tokens are stored on our own server, encrypted at rest, and are never exposed to a browser or shared with another client. Reporting data pulled from Meta is shown only to the client it belongs to and to Oversee Agency staff, and is never sold or used to advertise to anyone else. A client may disconnect at any time from the Meta and Instagram Ads tab in the dashboard, or remove our access directly in their Meta Business settings under Business settings, Integrations, Business integrations. On disconnection we delete the stored token and the cached reporting rows for that connection.
Your Rights and Choices
Depending on your location and applicable laws, you have several rights concerning your personal data. Under the TDPSA, Texas residents can request access to their personal data, correct inaccuracies, delete their data (subject to legal exceptions), and opt-out of data sales or its use for targeted advertising or profiling with significant effects. Similar rights are available under the CCPA for California residents and the GDPR for individuals in the European Economic Area (EEA).
For example, GDPR grants you the right to data portability, allowing you to receive your data in a structured, machine-readable format. To exercise these rights, please contact us via our contact form. We will respond within the timeframes required by law, typically within 45 days under TDPSA or 30 days under GDPR.
If you are in the EEA, you may also lodge a complaint with your local data protection authority. We support universal opt-out mechanisms, such as the Global Privacy Control (GPC), which allows you to signal your preference to opt-out of data sales or targeted advertising through your browser settings. You may also opt-out of marketing communications by following unsubscribe instructions in our emails or contacting us directly.
Data Security
Protecting your personal information is a priority. We implement robust technical and organizational measures to safeguard your data from unauthorized access, use, or disclosure. These measures include encrypting sensitive data during transmission and storage, using secure servers and storage systems, conducting regular security audits, and updating our software to address vulnerabilities.
Access to your personal data is restricted to authorized personnel who require it to perform their duties. Despite these efforts, no method of internet transmission or electronic storage is entirely secure, and we cannot guarantee absolute security. In the unlikely event of a data breach that may compromise your personal information, we will notify you promptly as required by applicable laws, such as within 60 days under TDPSA or 72 hours under GDPR, and take steps to mitigate any harm.
Data Retention and Deletion
We retain your personal data only for as long as necessary to fulfill the purposes outlined in this policy or to comply with legal requirements. For example, we may retain contact information to provide ongoing services or comply with tax and accounting obligations. When your data is no longer needed, we securely delete or anonymize it.
If deletion is not immediately feasible—such as when data is stored in backup archives—we isolate it from further processing until deletion is possible. Our retention periods are determined based on the nature of the data, the purposes for which it was collected, and legal obligations. For instance, data collected for marketing purposes may be retained until you opt-out, while transactional data may be kept for seven years to comply with tax laws.
International Data Transfers
As our website is hosted in the United States, your personal data may be transferred to and processed in the U.S. By using our website, you consent to this transfer. For users in the EEA or other regions with data export restrictions, we ensure that international transfers comply with applicable laws. We use safeguards such as Standard Contractual Clauses approved by the European Commission to protect data transferred to countries without an adequacy decision from the EU.
If you have questions about international data transfers, please contact us via our contact form.
Children’s Privacy
Our website and services are not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. If we learn that we have inadvertently collected such information without parental consent, we will promptly delete it. If you believe a child under 13 has provided us with personal information, please contact us via our contact form, and we will take immediate steps to remove the data.
For users under 16 in the EEA, we comply with GDPR requirements regarding consent for data processing, ensuring parental consent is obtained where necessary.
Dispute Resolution
If you have concerns about how we handle your personal data, we encourage you to contact us first to resolve the issue. You may submit complaints or inquiries via our contact form. We will review and respond to your complaint within 30 days, as required by applicable laws.
If you are not satisfied with our response, you may escalate your complaint to the relevant data protection authority, such as the Texas Attorney General for TDPSA violations or your local supervisory authority in the EEA under GDPR.
